This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website, engage our services, or interact with campaigns, forms, and content that we manage on behalf of our healthcare clients.

We know that some of the information passing through our systems relates to health and medical inquiries submitted by patients of our clients. We treat that information with the same care a healthcare provider would, and we ask that anyone using our services do the same. By using our website or services, you agree to the practices described in this Policy.

1. Scope of This Policy

This Policy applies to information collected through:

•      healthcaremarketingexpert.ae and any subdomains or landing pages we operate;

•      Forms, chatbots, click-to-call, and WhatsApp widgets embedded on our own or our clients’ websites that we manage;

•      Our social media pages, paid advertising campaigns, and email communications;

•      Direct interactions with our team, including consultations, proposals, and account management.

It does not cover the internal patient records, electronic medical records, or clinical systems operated directly by our clients — those are governed by each clinic’s own privacy policy and applicable healthcare regulations.

2.1 Information You Provide Directly

•      Name, email address, phone number, and company or clinic name;

•      Business details when you inquire about our marketing services (industry, location, marketing goals, budget);

•      Correspondence you send us, including messages, call recordings (where disclosed), and meeting notes.

2.2 Information Collected on Behalf of Our Clients

When we manage lead-generation forms, booking widgets, or ad campaigns for a healthcare client, we may process information submitted by that client’s patients or prospective patients, which can include:

•      Contact and appointment details (name, phone, email, preferred appointment time);

•      The treatment, service, or condition a person is inquiring about;

•      In limited cases, and only where necessary for the inquiry, general health-related information voluntarily shared in a form (e.g. “interested in dental implants”). We do not request full medical histories, diagnostic reports, or clinical records, and we ask clients not to route such records through our systems.

In these cases we act as a data processor / service provider on behalf of the clinic, which remains the data controller responsible for that individual’s information. We handle it strictly under contract with the clinic and for the purpose of delivering the lead to them.

2.3 Information Collected Automatically

•      IP address, browser type, device information, and general location;

•      Pages visited, referral source, time on site, and click behavior, via cookies and analytics tags (e.g. Google Analytics, Google Ads, Meta Pixel);

•      Aggregated campaign performance data used to report on marketing results.

3. How We Use Information

We use the information described above to:

•      Respond to inquiries and provide our marketing consultation and services;

•      Deliver patient or prospective-patient leads to the relevant healthcare client, on their instructions;

•      Plan, run, and measure the performance of SEO, paid media, content, and social campaigns;

•      Improve our website, services, and reporting;

•      Send service updates, invoices, and — where you have opted in — marketing newsletters and insights;

•      Meet legal, regulatory, tax, and contractual obligations.

We do not use patient or lead information collected on behalf of a client for our own marketing purposes, and we do not build independent profiles of patients across clients.

4. Legal Basis for Processing

Where the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) or the EU General Data Protection Regulation applies, we rely on one or more of the following bases: your consent; performance of a contract with you or the clinic you are inquiring with; our legitimate interest in operating and improving our services; and compliance with legal obligations. You may withdraw consent at any time where consent is the basis for processing, without affecting the lawfulness of processing carried out before withdrawal.

We never display information you share with us for promotional or testimonial purposes without your prior written consent.

Lead and inquiry data processed on behalf of a client is retained according to that client’s instructions and deleted or anonymized once it is no longer needed for the agreed purpose.
